Designer finds a creative way to manage client data
"When you first start out in this business your main focus is on attracting clients and delivering good quality work," says Tim Alford, who recently started his own design company in Melbourne, Australia.
 "I know it's also important to have a good back-up and archive process in place, but it wasn't a high priority at first."
"I started to re-think my priorities when I had problems finding files that I wanted to include in some specially targeted portfolios I was putting together," he says.
"I knew that the images I wanted had to be somewhere in that pile of DVDs sitting on my desk. That is, unless they were on one of my USB keys, or maybe on a removable hard drive."
Tim was facing a problem that many larger agencies also have. If you can't find the file you need when you need it, you're wasting time and money.
"I bought myself a couple of DVD racks to help get things under control and a friend suggested I also try Datacatch Librarian to keep track of the discs I stored in the racks," says Tim.
"Since installing Datacatch Librarian, I've never looked back!"

"The beauty of Datacatch Librarian is its simplicity. It's integrated into Microsoft Windows so there's nothing new to learn," says Tim.
"I can browse the thumbnail versions of the images stored on my DVDs and USB keys in the same way I browse my computer's hard drive. I can also use Windows Search to find any file in just a few seconds."
"Whenever I insert a disc or attach a removable hard drive or USB key, Datacatch Librarian springs into action asking whether I want to add the media to its database. It gives me the ability to add new media, and to update the content (file and folder details) stored for existing pieces of media. This last one is especially useful for me to keep track of what is on my USB keys," he says.
"Adding new DVDs is just as easy. I've set things up so that whenever I burn a new DVD, Datacatch Librarian automatically adds it to the database."
Tim also takes advantage of Datacatch Librarian's easy integration with his DVD racks.
"When I add media to Datacatch Librarian I can specify its location right down to the slot number in the DVD storage rack in which it is stored. Then, when I search for a file or disc name, it only takes a matter of seconds to retrieve the disc I need."
"I'm using Datacatch Librarian to keep track of all of my client work, plus my software application and stock image discs. I'm so organized these days that I've almost finished filling my third DVD storage rack," says Tim.
"With Datacatch Librarian I'm able to spend more time on work that I enjoy and that helps to pay the bills. Not only am I saving time and effort when it comes to managing my discs and files. And I really enjoy working at a tidy desk!"
